Meeting Minutes

November 8, 2021

Call to Order
Officially began at 7:33 pm and was presided over by Traci Poppert, with Ellen McGuinness as secretary.

Approval of November minutes – unanimous

President’s Report -- Traci
  • KIDA Home Show = 2/12/2022 – NEED LOTS OF VOLUNTEERS!  All families must participate – kids & parents.
    • Need a committee to work with Mike Hillman
    • Need a freshman/sophomore parent to learn for future years.
    • Need a nurse.
    • Without more volunteers BAND FEES WILL INCREASE.
  • THANK YOU to all marching season volunteers!
VP1 – Teresa
  • Uniforms –
    • Need a back-up for uniforms as she will be in CA next year.
    • Newer parents need training to be prepared.
  • Spiritwear –
    • Show shirt order was slightly delayed – they will be here soon.
VP2 (Student Accounts) – Krista
  • No fees sent in a while.
    33 kids have paid in full (out of 45)
    Keep track of volunteer hours!
Director’s Report -- Mr. Gasemy
  • Regionals – “Went great!”
    • Thanked all parent volunteers.
  • Continue helping/volunteering, & bring friends.
  • Concert & Indoor Percussion season now.  (concert = 12/9)
  • KIDA (Indoor Percussion) – TJ hosing 2/12/22, more info to come.
    • ALL HANDS ON DECK!!!
    • > 50 volunteers needed.
  • Thursdays, Fridays, Saturdays in December – need help clearing out all areas of the band room, uniform room, percussion studio, and 2nd sea crate as the space is needed.
Treasurer – Jaclyn
  • Report shared -- $1,514.45 IN, $3,072.70 OUT
  • Incoming $ was marching band fees, $85 Kitchenette donation, $95.22 “Band-Ade” coins (found in uniform room)
  • Expenses were show shirts, scrip, instructors, techs, instrument repair
  • Per Board meeting – equipment upgrades & bibber purchases, and the following expenses were approved:
    • Marching tubas
    • Flutes
    • Sound system equipment
    • Percussion “stuff”
    • Concert equipment
  • Techs need to turn in “Band Staff Instruction” forms for their next payment.
  • Uncashed checks –
    • only four were claimed.  
    • One more email will be sent, then they will go on the “Missing $” website.
    • There was no contact information for some people.
Secretary – Ellen
  • Everyone – please continue to read the monthly minutes and encourage other families to read them as well.
Chaperones -- Ellen
  • Kris Kringle parade.
Pit Crew
  • Volunteers needed for Indoor season
  • Drivers needed for next year’s marching season.
Fundraising
  • Chairperson = Denise Failacci😊
  • Spin-the-Bottle – 11/15-11/20  Mention “TJ Band” & they give a percent with each purchase.
  • Poinsettias (Krista)
    • 24 orders now, need 24 more to process the order (minimum = 48)
    • Need $500 to place order
    • Need $1K for free delivery (now only $277)
    • Place order 11/24 (the day before Thanksgiving)
    • Wreaths on time for pick up 11/20
    • Poinsettia pickup = 12/10
  • Tree Pick Up – Kurt Bossaller & Lenka will drive truck & pull trailer.
    • Sunday 1/9
    • More help is needed!  
  • KIDA = Mike Hillman
  • Hershey Park tickets (Serena Hart)
  • SCRIP (Denise) – 80% to student account & 20% to general fund.  Some families have paid their ENTIRE BAND FEES for the year with SCRIP!
    • $222 rebate -- $178 student accounts & $44.53 general fund ($22 fees).
    • July-now, 2021 = $195 to general fund.
    • $9K earned for this school year.
  • Getting Hershey Park & Spiritwear info from Jamie Hendi (alumni band parent)
  • Cookie sale?  (Valentines)

  • TRAINEES NEEDED –
    • Car washes – summer 2022 is Ellen’s last summer!
    • Greenery – this is Krista’s last year.

  • Jazz Night – spring, hopeful.
  • Consolidate band events so information is easily accessible.
    • Link on webpage?
    • Someone would need to oversee it.
    • “Band App” or something else?  Can no longer use “Remind” in FCPS.
  • Traci is looking into corporate fundraising.
    • Ask for donations.
    • Ads on band trailer.
    • Tom Keller will help with this.
  • BINGO!  November 13, 2022, Lewistown Fire Hall
    • Sponsors needed.
    • Less cost than 2021 – already have game cards & tip jars.
