Meeting Minutes

February 18, 2019

Present:  Dan Failacci, Kim Stevens, Greg & Theresa Anderson, Kate Dudash, Mike Hillman, Shari Nakamoto, Laura Busch, Scott & Hillary Lewis, Joe and Dawn Humbertson, Alice Zalatoris, Dana Cunningham, Nick Gasemy

Call to Order
Meeting began at 7:32pm and was presided over by Mike Hillman, with Dan Failacci as secretary.

Approval of Previous Minutes:
January Booster Meeting minutes approved (Scott/Kim).  

President’s Report:  Executive Board met for February.  
  • Budget reviewed as always
  • Upcoming events reviewed:
    • Indoor shows:  
      • 3/2:    WGI Regional (Guard)
      • 3/9:    Tuscarora (both)
  • Thank You:
    • Eric and Kate Dudash – for baking so many cookies – 500+ (and everyone else that baked cookies for the fundraiser).  Sold 132 dozen cookies
    • Pit and chaperones for indoor
  • SCRIP – through Jan 31, purchased about $43k worth of merchandise with an average return of 5%.  Over $2k has gone back into the band program.
  • Need to form a committee for Jazz Night to gather donations:  coffee/desserts
  • Discussed how to formally handle senior balances due to recent inquiry
  • KIDA – still need help for the food line and to help with judges (among other open spots).  Please consider helping out in some way if you are not already signed up to help.
  • Also please consider helping Bob Fowle out for the Leprauchan Luau on 3/2.  He kicks in some money towards each student account for the people that help, and he is still a couple people short.
Vice President’s Report: (Erik out)  
  • Met with banquet folks – down payments for catering have been made.
  • Trish set to go on the band jackets – coordinating with Jamie Hendi, also getting pricing for garment bags
  • Keep collecting your hours.  I will be asking for them in the next month or so.
  • ~ $7.4k incoming/$5.9k outgoing for the month, which does not include paypal deposit made after 2/1 (Christmas tree pickup and Valentines cookies).
  • YTD - ~$95.8k incoming/$92.5k outgoing.  
  • 1099’s have been sent to all staff members
  • Annual charitable organization certification submitted
  • There are seats available for WGI for both percussion and guard performances.  Emails will be coming out
  • As always, ask Dana for specific details/questions.
Directors Report:
  • WGI percussion this week.  Leaving 7:30 am Saturday
  • WGI guard next week – 3/2
  • Guard uniforms shipped/arrived Saturday – invoice coming
  • Still working on dates for Disney (lots of approvals needed and school dates may be changing)
  • Waiting on $600 worth of drum sticks that are stuck in shipping.  Supposed to be here tomorrow
  • 3/25 is concert adjudication
  • Band camp dates:  Looking like 7/22 – 8/2 – NOT FINALIZED.  Nick will send out dates when official.
Student Accounts:
  • 44 students with outstanding balances
  • 44 students with credit or zero balance
  • Final payment for indoor due 2/21  
  • Reminder:  Banquet is coming up, and your student account must be paid up in full to attend banquet – no exceptions.
Committee Reports

  • Cookie bake sale – sold 132 boxes!!!  Going to try again around Halloween (not Christmas).  Looking for new coordinator for fall
  • Yankee Candle coming up in March (general fundraiser).  Email will be coming out
  • Still working on restaurant night for March
Uniform Report:

Pit Crew report:
Indoor events are covered.  Tire donation provide by Triangle Contracting for the trailer, so the trailer should be good for tires for another 6 years.
Doug Johnson will be the pit boss for outdoor next year

Still looks like there might be some help needed for guard chaperones.  Contact Jamie Hendi.


Old Business:
Year End Banquet April 15 (mark your calendar’s), in the cafeteria

New Business:
Need nominating committee for May Annual meeting/elections.  Kate Dudash will spearhead.
